01Agreement to these terms
These terms are an agreement between you and ClubDojo (“we”, “us”) covering your use of clubdojo.app and its supporting services. By creating an account or using ClubDojo, you agree to them. If you use ClubDojo on behalf of a club, you agree on the club's behalf too. [Contracting entity and registered address to be confirmed by counsel]
02The service
ClubDojo is a software-as-a-service platform for racket sports clubs and active communities. Clubs use it to manage sports and custom activities, bookable resources and reservations, members and membership plans, events and programs, box leagues, announcements and email, and optional payments.
ClubDojo is currently in early access: the product is under active development, and features may change, improve, or be reworked as we build it out.
03Your account
- Provide accurate information and keep your sign-in credentials secure. Optional passkeys and two-factor authentication are available in account settings.
- You are responsible for activity under your account. Don't share your account with others.
- [Minimum age to hold an account to be set with counsel (expected: 13 or older, with younger juniors covered through a parent or guardian's family membership rather than their own account)]
04Clubs are independent
Clubs on ClubDojo are independent organizations run by their own owners and admins — ClubDojo provides the software, not the club. Each club sets its own membership plans and prices, reservation rules, registration fees, and refund decisions for what its members pay it.
Your relationship with a club — membership terms, fees, conduct at the facility — is between you and that club. ClubDojo is not a party to it.
05ClubDojo subscriptions and billing
- Clubs subscribe to ClubDojo on the Starter, Growth, or Pro plan, billed monthly or annually through our billing provider, Polar. Plans differ by club size (member and bookable-resource limits) and support level; current pricing is on the pricing section of our homepage.
- Subscription payments are processed by Polar as merchant of record for the transaction — the charge on your statement comes from Polar, Polar handles applicable sales tax or VAT, and Polar's own terms apply to the payment itself. [Counsel to confirm merchant-of-record framing against Polar's current merchant terms]
- New clubs currently receive a 30-day free trial. The trial period begins when the club's first member joins, not when the club is created, so time spent setting the club up is not counted against it.
- You can switch plans or billing frequency, update payment details, and cancel at any time through the billing portal in settings.
- If you cancel, your subscription runs to the end of the period you already paid for, and your club's data is not deleted — if you come back, you pick up where you left off.
- If a trial or subscription lapses, club management surfaces for admins may lock until a plan is chosen; members are not cut off.
- Refunds for ClubDojo subscriptions are covered by our Refund Policy.
06Payments between members and clubs
When a club configures a charge, members can pay it through ClubDojo for membership dues, resource reservations, and social, program, or competition registrations. Clubs may also include any offering at no charge. Paid offerings run on Stripe:
- Charges are made on the club's own connected Stripe account. The club is the merchant of record, funds settle directly to the club, and the club bears Stripe's processing fees.
- ClubDojo adds no platform fee to these payments and never holds the funds.
- Clubs that connect a Stripe account also agree to Stripe's connected-account terms as part of Stripe's onboarding.
- Refunds and disputes for these charges are between you and your club — see the Refund Policy.
07Your content
You and your club own the content you put into ClubDojo — posts, photos, event descriptions, and club records. You grant us the license needed to host, store, and display that content in order to run the service. You are responsible for having the rights to what you upload, and we may remove content that violates the Acceptable Use Policy.
08Copyright complaints
If you believe content on ClubDojo infringes your copyright, report it to [email protected] with the content's location and a description of the work infringed; we will remove infringing content. [Formal takedown process (e.g. DMCA notice requirements, counter-notice, repeat-infringer policy) and registered-agent designation to be set up with counsel before launch]
09Acceptable use
Use of ClubDojo is subject to the Acceptable Use Policy — in short: use the platform lawfully, treat members decently, use club email tools and member data only for club business, and don't interfere with the platform or its payment flows.
10Suspension and termination
- You can stop using ClubDojo, and a club can cancel its subscription, at any time.
- We may suspend or ban accounts, or terminate club access, for violations of these terms or the Acceptable Use Policy. Suspensions may be temporary or permanent depending on severity.
- Handling of data after termination is described in the Privacy Policy.
11Disclaimers
ClubDojo is provided “as is” and “as available”, and — particularly during early access — we do not promise uninterrupted or error-free service. [Final warranty-disclaimer language to be drafted by counsel]
12Limitation of liability
[Limitation-of-liability terms to be drafted by counsel (expected: liability capped at fees paid to ClubDojo in the preceding 12 months; no indirect or consequential damages)]
13Governing law and disputes
[Governing law, venue, and dispute-resolution process to be determined by counsel]
14Other standard terms
[Counsel to draft the remaining standard clauses: indemnification, severability, assignment, entire agreement, no waiver, and force majeure]
15Changes and contact
We may update these terms as the product evolves; we will post the updated terms here and revise the date at the top. [Notice mechanism for material changes to be confirmed]
